Course Sites
Access to Course Sites
For instructors and course site maintainers, course details are available in OWL approximately four (4) months prior to the start date of the term. Therefore, instructors and course site maintainers can create course sites in OWL four months prior to the start of the course's term. For example, Fall courses starting in September are available for instructors to create their course sites beginning in the first or second week of May.
Students are added to the course rosters in OWL one (1) month prior to the start date of the course. Please note that the instructor or course site maintainer needs to publish the course site in order for students of that course to have access to it. Use the My Official Course Enrolments page in MEMBERSHIP, located in your Home site, to check your course enrolments and the published status of your course sites.
Automatic Course Site Unpublishing
OWL course sites will be unpublished automatically once per year, during the summer. After feedback from the Western community, the process will unpublish courses with an end-of-term date falling before September of the previous calendar year.
OWL course sites will remain published through July in the year after the course has ended. The current schedule for the process includes:
- On August 22, 2023, courses from Fall 2021, Winter 2022, and Summer 2022, and courses prior to these terms were unpublished.
- On September 20, 2022, courses from Fall 2020, Winter 2021, and Summer 2021, and courses prior to these terms were unpublished.
Once unpublished, students will no longer be able to access the course sites. Instructors, Grade Admins, and other OWL site maintainers will still be able to access the unpublished course sites. Project sites are not affected by this process.
Individual courses may be republished by an instructor or site maintainer or by the WTS Helpdesk (with permission from the instructor).
